2. School Setup on CMS 2.0 โ€‹

All initial setup is done from top to bottom on the left sidebar of CMS 2.0.

1. Create Branches (Agencies) & Bulk Auto-Classify โ€‹

  • To add a campus โ†’ Go to Agencies โ†’ Click Create, enter the branch name, choose a badge color, and assign a Branch Admin.
  • How it works: A Branch Admin only sees classes, teachers, and students belonging to their assigned branch. On Event Board, the branch badge appears next to the class name in Column 4 (Group) (and can be changed inline via [Agency โ–พ] when expanding a row).
  • Bulk Auto-Classify by Naming Pattern (Auto-Classify): Define a prefix or suffix rule (Prefix / Suffix) โ†’ click Preview to inspect matching records โ†’ click Apply to assign classes, students, and teachers to the right branch in seconds.

2. Set Up Courses (Courses) & Auto-Pair .mp3 Audio โ€‹

When you open a course in Courses, you work across the main tabs:

๐Ÿซ School-Created Courses (School) vs. O2S-Provided Courses (O2S)

  • School-Created Courses (School): Every course created on CMS 2.0 uses the unified Group / Package engine. School Admins and Branch Admins (within their assigned branch) have full permission to create, edit, and delete courses, packages, class groups, student enrollments, and schedules.
  • O2S-Provided Catalog Courses (O2S): While the master syllabus is protected by O2S, School Admins and Branch Admins still have full autonomy to run their own classes on top of any O2S course:
    1. Open School Class Groups (+ Group) & Packages (+ Package): Freely create school-owned class groups and add session packages inside an O2S course.
    2. Manage Student Enrollments (+ Student, Transfer, Remove): Add, transfer, or remove students in school-owned groups from Course โ†’ Groups, Course โ†’ Students, Groups, and Users โ†’ Student Detail.
    3. Assign School Teachers & Schedule Co-Teaching (Hybrid Groups): Attach internal School Teachers to an O2S course and book new sessions (Scheduler) with your School Teachers in hybrid classes (co-taught by [O2S] and School Teachers), while [O2S] teacher sessions and groups synced directly from O2S Base remain safely protected (๐Ÿ”’ O2S).

๐ŸŽต Auto-Pair .mp3 Audio, Natural Slide Order & In-Place Overwrite

  • Auto-pair audio to slides: Name the .mp3/.wav file identically to the slide image file (e.g., Slide1.jpg and Slide1.mp3) and O2S automatically attaches the audio player to that exact page.
  • Natural numeric sorting: Slides sort naturally as Slide_1, Slide_2 ... Slide_10 (never jumping Slide_10 ahead of Slide_2).
  • In-place overwrite on re-upload: Re-uploading a slide image or audio file with the same filename updates it in place while preserving page order and Mark Done history.

3. Create Teacher & Student Accounts (Users) โ€‹

  • To add a Student or Teacher โ†’ Go to Users โ†’ Select Student or Teacher โ†’ Choose their Branch (Agency) and check their Courses / Class Groups (Groups).
  • 1-Click Random Password & Copy Login Info: Generate a 6-character password and click Copy Credentials to send directly to parents or teachers.
  • Restore Accidentally Deleted Accounts (Restore): Switch the status filter to Deleted โ†’ click Restore to recover any deleted account with 1 click.

4. Create Class Groups (Groups) & Bulk Schedule (Scheduler) โ€‹

  1. Create the group & inspect packages (Pkg (N)): Go to Groups โ†’ Enter the class name, select Branch, Course, Primary Teacher, and add Students. Click the Pkg (N) badge on any group row to view package renewal history, add bonus sessions, or remove an accidental renewal.
  2. Generate the full term schedule (Scheduler):
    • Pick Start Date, click a quick session count preset (1 ยท 4 ยท 8 ยท 12 ยท Max โ€” Max auto-fills the remaining sessions in the package), and choose Days of the Week and Duration (25..120 mins or Custom...).
    • O2S automatically checks for schedule conflicts, numbers every session (1/48 .. 48/48), and pre-fills the suggested Next Material.
  3. First-time classroom sync: Switch to Event Board and click the cloud icon โ˜๏ธ in Column 11 once.

  • Modern schools schedule fixed terms and make-up sessions directly via Groups โ†’ Scheduler and the Schedule modal on Event Board.
  • Only in rare cases where 1-on-1 students self-book open teacher slots do admins need the legacy 1-1 Students tab inside Courses or teacher Time Slot configuration.
