3. Daily Class Dispatch on Event Board โ€‹

Event Board is the live operations center for Managers, Coordinators, and Teachers. Almost every cell on a session row can be clicked directly to filter or take immediate action.

โ€ข Click Lesson Box โ†’ Copy Next Material text to clipboard. โ€ข Click Clock button (๐Ÿ•’ History) on the right โ†’ Open the compact Learning History Popup.

Key Controls on a Session Row & Inside the Expanded Drawer (โ–ผ Column 1) โ€‹

  • Quick Branch Switch ([Agency โ–พ]): Click the branch pill right on the Group line to assign or switch the class's branch.
  • Substitute Teacher / Reschedule (Edit): Click Edit to change the teacher or time for that session.
  • Backup Meeting Link (External Room URL): Attach an external room link (Zoom/Meet) when a backup room is needed.
  • Manage Class Recordings (Recorded Files) & Audit Log (History): Download videos, click the eye icon ๐Ÿ‘๏ธ to show/hide specific recordings from Students & Parents, or open History to see who modified the session.
  • ๐Ÿ•’ Learning History Popup (Column 10): Clicking the clock icon ๐Ÿ•’ next to Next Material hides future unlearned sessions by default so the most recently completed class appears right at the top (with a toggle to reveal future sessions when needed).

2. Confirming & Adjusting Next Material โ€‹

At the end of every class, the Teacher or Coordinator expands the row (Col 1 โ–ผ) to lock in Next Material for the next session:

When editing lesson / teacher / time (Edit modal), choose between 2 Save buttons: โ€ข Update session (this session only) โ€ข Update group onward (this & all future sessions).
  • To approve the predicted lesson โ†’ Click โœ“ Confirm.
  • 2 Save Modes When Editing (โœŽ): When using the 7 quick-adjust chips or picking a new lesson, choose how to apply the change:
    • Update session: Changes the lesson for this single session only.
    • Update group onward: Automatically shifts (+1, +2...) all subsequent future sessions for the entire class group!
  • Multi-Book Progress Tracking ([SB] + [WB]): When a course includes both a Student Book and a Workbook, O2S tracks each book independently and displays paired recommendations (e.g., [SB] Unit 2 - Lesson 1 (+ WB: U2-L1)).
  • Instant Push to O2S Base for [O2S] Teachers: As soon as you click โœ“ Confirm or save Next Material, the confirmed lesson is pushed immediately to O2S Base and appears as a green banner Next Material: [Title] (Book โ€ข Unit โ€ข Lesson) inside the session row on O2S Base.

3. Auto-Sync Rules & When to Click โ˜๏ธ โ€‹

PHASE 1: FIRST TIME
Click โ˜๏ธ Sync Once (Col 11)
When a class is newly created, click the cloud icon (โ˜๏ธ) in Column 11 once to link the LMS class with its O2S Base room.
PHASE 2: AUTOMATIC
100% Two-Way Auto-Sync
Every change afterward (time, substitute teacher, students, Next Material, Mark Done) syncs automatically in both directions.
BASE DISPLAY & CONFIG
Green Next Material Banner on Base
Confirmed Next Material appears immediately as a green banner inside the O2S Base session row. Schools using 100% internal teachers can optionally set Base sync to OFF.
  • When do you click โ˜๏ธ (Column 11)? Only once when a new class is first created or if a session row still shows the โ˜๏ธ icon.
  • When is sync 100% automatic? After the first sync, confirming Next Material, changing a lesson via ๐Ÿ“–, swapping a substitute teacher, or updating session time automatically syncs two-way between LMS and O2S Base.
  • Permissions on ๐Ÿ”’ O2S Sessions: School Admins and Coordinators can freely swap internal school substitute teachers (School Teacher โ†” School Teacher), edit External Room URL, write Notes, and click โœ“ Confirm on Next Material. Canceling (Cancel), restoring (Restore), or assigning/replacing [O2S] seconded teachers is managed by O2S Admin.
